Send and track proposals
Available on Starter plans and up.
Sending
Open a proposal and click Send. Your client receives a branded email — your business name, the title, your intro message, the full line-item breakdown, and a Review & Accept Proposal button that opens their copy in the client portal.
Prefer another channel? Copy Link puts the portal URL on your clipboard for texting or messaging. Either way, the proposal's status moves from Draft to Sent.
You can re-send any time — a proposal that's already been viewed or accepted keeps its status.
The lifecycle
Draft → Sent → Viewed → Accepted ✓
↘ Declined ✗
- Sent — it's in their inbox
- Viewed — they opened it (recorded automatically the moment the portal page loads — you'll know your proposal was actually read)
- Accepted — they signed, with their typed name and the date recorded
- Declined — they passed
- Expired — you marked a stale draft expired
The timeline
Every proposal page shows its story with timestamps: Created → Sent → Viewed → Accepted (with "Signed by {name}") or Declined. When a client says "I never got it," the timeline answers instantly.
While it's out
- Edit is available while the proposal is a draft — what a client reviews stays what they reviewed.
- The Valid Until date turns red on your side once it passes — your cue to follow up or re-issue.
- The proposals list shows funnel stats across all your proposals: pipeline value, acceptance rate, and average days to accept.
When it comes back Accepted, one click converts it to an invoice.
