Client statuses explained

Every client has one of three statuses. They're simple on purpose — a lightweight pipeline that keeps your list readable without ceremony.

The three statuses

Status Color Use it for
Lead Orange Prospects — people you're talking to but haven't done business with yet
Active Green Current clients — the default for new records
Inactive Grey Past clients you're keeping for history but not actively working with

Working with statuses

  • Set the status when you create a client, or change it any time via Edit.
  • The status tabs on the Clients page (All / Lead / Active / Inactive) filter the list instantly — your Lead tab is effectively your prospect list.
  • The spreadsheet importer can set statuses in bulk if your file has a status column with lead, active, or inactive values.

A simple workflow

  1. Someone inquires → create them as a Lead and log the conversation in their Activity tab.
  2. They hire you → flip them to Active (and send a proposal or invoice).
  3. The work wraps up and they go quiet → mark them Inactive. Their full history — invoices, notes, appointments — stays intact if they ever come back.

Statuses never restrict anything: you can invoice or schedule any client regardless of status. They exist purely to keep you organized.
